Custom electronic invoicing system in Costa Rica

In short

An electronic invoicing system built for your business issues the version 4.4 documents required by Costa Rica's Ministry of Finance (Hacienda) straight from your operations: the sale, order or contract generates the invoice, signs it with your cryptographic key, sends it to Hacienda, receives the response and forwards it to the customer, with no retyping.

Challenges

Sound familiar?

  • You invoice in a separate tool and copy the details of every sale by hand.
  • One mistake in a CABYS code or a tax rate gets your invoice rejected.
  • You can't tell which documents are still pending or were rejected by Hacienda.
  • Credit sales aren't linked to the payments you receive later.

What's included

What Electronic invoicing does for your company

  • Every version 4.4 document

Electronic invoice (FE), electronic ticket (TE), credit and debit notes (NC/ND), purchase invoice (FEC), export invoice and electronic payment receipt (REP).

  • Issued from your operations

The invoice comes straight from the sale, the order or the approved quote. Every piece of data is entered only once.

  • CABYS catalog and VAT rates

Each product or service carries its CABYS code and tax rate, which prevents rejections caused by misclassification.

  • Real-time status

See which documents were accepted, rejected or are still pending, along with Hacienda's message so you can fix them.

  • Automatic delivery to customers

PDF and XML sent by email as soon as Hacienda accepts the document, with your logo and business details.

  • Purchase document intake

Accept or reject your suppliers' invoices and have them recorded as expenses automatically.

What changed with version 4.4 of the electronic invoice?

Version 4.4 is the current electronic document format from Costa Rica's Ministry of Finance (Hacienda), mandatory since 2025. It adds the electronic payment receipt to record installments on credit sales, expands the recognized payment methods, including SINPE Móvil, and adjusts identification and line detail fields. A system ready for 4.4 validates those fields before sending, which is why rejections go down.

Why should invoicing be connected to the rest of the business?

Because the invoice is where sales, inventory, collections and taxes come together. If it lives in a separate tool, someone copies data every day and every copy is a chance for error. When it's connected, the sale deducts inventory, creates the account receivable and leaves the VAT report ready for your accountant.

What do I need to start invoicing with my own system?

You need to be registered as a taxpayer, generate your cryptographic key and electronic document user with Hacienda, and have your list of products or services with their CABYS codes. We configure the connection, load the catalog, test in Hacienda's sandbox environment and go live once everything comes back accepted.

FAQ

Frequently asked questions: Electronic invoicing

Does the system comply with Hacienda version 4.4?

Yes. It issues and validates documents using the current 4.4 structure, including the electronic payment receipt, and it is updated whenever Hacienda publishes changes.

Can I keep using my current system while we migrate?

Yes. We configure and test in parallel and go live on an agreed date, so there are no days when you can't invoice.

What happens if Hacienda rejects a document?

The system shows the exact reason Hacienda returns, lets you correct and resend it, and keeps a history of every attempt.

Does it issue electronic tickets for retail sales?

Yes. For sales to end consumers it issues an electronic ticket from the register, and an electronic invoice when the customer asks for one with their details.

How much does a custom electronic invoicing system cost?

It depends on how many processes it connects, such as inventory, collections or multiple branches. After a free assessment we give you a fixed quote broken down by phases.
